On-Site Management

In addition to the ‘behind the scenes” aspect of site selection,

Mindful Meeting Pros provides experienced travel staff to work

on-site at your event, as an extension of your team.

Whether it be for registration, help desk assistance, or any other type of support, our team of experienced Event Managers assist with the logistics for pre- and post-event planning, coordination of manpower and resources, as well as overall event deadline and budget management.

 

Our Event Managers are industry savvy, fully accredited Certified Meeting Professionals* who are well versed in Food & Beverage, Banquet Event Orders and Audio-Visual management, as well as contract review. The extensive onsite experience and unique understanding of hotel organizational structure that our Event Managers bring to the table allows for quick resolution of potential concerns. For clarity, accuracy and continuity, the Event Manager who has managed the event from conception (if utilized) will be onsite to ensure successful event delivery.

 

Some on-site services Mindful Meeting Pros Event Managers offer include, but are not limited to:

- Acting as the main onsite point of contact for the Venue and all vendors.

- Conducting daily morning meetings with venue staff to ensure cohesiveness.

- Confirming the venue is performing in accordance with the Banquet Event Order specifications at the proper times for the event and ensuring room set up and food & beverage details are correct.

 

Mindful Meeting Pros is also able to offer on-site support staff, in the form of Travel Directors. These Travel Directors are communications specialists who have technology skills and the ability to travel on-site with clients to work on specific programs. Travel Directors report to the Event Manager or the on-site Meeting Planner. 

 

Travel Director services may include:

- Overseeing groups to stay on task

- Coordination of ground transportation

- Registration assistance

- Room drops: Assignments and delivering

The CMP credential is recognized globally as the badge of excellence in the events industry. The qualifications for certification are based on professional experience, education, and a rigorous exam.
